How to use the asu.com website and ASU Travel Guide book

The ASU Travel Guide is available as both a printed book and on the web. Both provide thousands of travel discounts available to airline employees, their parents and retirees.

Eligibility for Airline Rates

All categories of airline employees, their spouses, and dependent children are eligible unless otherwise noted. Parents (traveling alone or with the employee) and retired employees are not eligible unless the listing (or the appendix, where applicable) states that they are eligible. To get the discounts, you must show either current airline identification, proof of past employment (retired ID), or verification of relationship to an airline employee. Also, employees should bring along a letter of employment, on company letterhead, signed by a supervisor.

Locating a Region, Country, State or City

All countries are listed in the directory under one of the following 9 geographical regions: Africa, Asia, Canada, Caribbean Islands, Europe, Mexico & Latin America, Middle East, the Pacific (click on Int'l Discounts button for these 8 sections); or the United States (click on U.S. Discounts button). There are then subdivisions by state (or province) and city. By clicking on either of these sections, you will get every type of listing available for these regions, in a scroll-down format. If you are specifically looking for Lodgings, Tours, Cruises, Airfares or Cars, click on these buttons only.

Types of Discounts

Discounts are stated in percentage off regular rates or as special interline rates. Special rates are sometimes listed with the percent discount they reflect listed in parenthesis. So, "special rate (50% disc) of $35...." means that the $35 rate is a 50% disc on the unstated regular rate of $70.

Hotel Plan & Charges

Unless otherwise stated, the hotel rates quoted are European Plan, i.e., no meals provided. "CP" indicates breakfast is included. See the "Key to Abbreviations" below for an explanation of the other plans.

Discount Effective Period

When no dates are given, the discount is effective year-round (if space is available). Where dates are indicated, the discount is available only during that time. Similarly, the term "blackout" indicates that the discount is not valid for the specific time period stated. Where several rates and dates are listed, the discount varies during the year, so make sure that you are reading the rates which apply to your scheduled arrival time.

About Rates

All rates are subject to change and should be used as a guideline only. Rates are usually quoted in U.S. dollars, but some rates are quoted in the currency of the country to which the listing refers. Currency exchange rates are available on a Click Button on the home page. For more detailed currency information, consult your local newspaper. You may convert U.S. Dollars to foreign currencies or Traveler's Checks before traveling. It may be a better idea to use ATM's overseas or to charge using your credit card, for better exchange rates may be available.

Included in Price

For cruises or tour packages, any major items--such as airfare, hotels or meals--will be mentioned if they are included in the stated price.

Discount Qualifications/Conditions

Where indicated in the listings, reservations must be made in advance to receive the discount. Please remember to identify yourself as an airline employee when making reservations. When writing or faxing, it is advisable to use your company letterhead; it is also good to include your supervisor's signature on this letter, stating that you are employed by the airline and therefore are entitled to airline-employee discounts. "Space avail upon arrival" indicates that walk-ins are welcome. Minimum and maximum stays may apply. Please note: Most hotels will not grant an interline discount when occupancy rates are over 85%-many hotels draw the line at 80%.In some cases, a deposit may be required. It is always in your interest to verify all discount details with the lister, but it is especially important before sending a deposit.

Credit Card Acceptance

Only those specifically listed will be accepted. For an explanation of abbreviations, see below.

Postal Address

Use the street and city addresses you find in the listings. For foreign listings, use the country heading for the appropriate country name. The post office box will be given wherever needed, followed by a zip code or its equivalent.

Phone Numbers, Fax Numbers, email addresses and website addresses

Fax or email can cost less than mailing a letter or calling. International calling codes, as applicable, are available on a click button on the home page. Dial (011) before the country code given, then the phone number in the listing. Note that Canada and some Caribbean Islands are the equivalent of U.S. long-distance calls; therefore, they do not need (011) and a country code. Emails are hyperlinked in listings as appropriate. Web pages are a good resource for information to supplement our airline-specific listing details; if available, you can click on the web address' hyperlink in a listing to get to the lister's website.

How to Avoid Common Booking Problems

Read the listing carefully. If it refers to an appendix, please consult that valuable information by clicking on the hyperlink. Make your travel plans early and follow all instructions for reservations. If you write or fax an ASU Travel Guide lister, use your company letterhead; if you call or email, always identify yourself as an airline employee. Be sure to confirm discount details, eligibility requirements, and dates. For airline fares, check with your pass bureau about your airline's agreements with other airlines.

Remember to bring:

  • Proper airline identification (and passport, if traveling abroad)
  • Your current issue of ASU Travel Guide (or a listing printout if online)
  • Reservation confirmation slip
  • Interline ticket
  • Letter from supervisor (especially for spouses, children, parents traveling without employee, and retired employees).
